Information We Collect

- register a table
- complete a campaign form
- sign up to receive updates

- submit a story, photo, testimonial or other campaign content, if this option is available

- the number of people taking part
- the type of table or gathering
- organisation, school, club, workplace or community group details, where relevant
- any message, story, photo or other information you choose to provide
We may also collect basic website analytics information, such as pages visited, browser type, device type and general location data.
How We Use Your Information
We use your information to:
- register your table or gathering
- calculate campaign participation totals
- estimate collective impact
- manage and improve the campaign
- respond to enquiries
- send campaign updates where you have opted in to receive them
understand how people are taking part - report on public campaign progress, such as total tables, participants, countries or group participation
We do not display personal email addresses publicly.
Public campaign displays, such as leaderboards or impact counters, are based on agreed campaign information such as country, city, group type, table count or participant count. We do not publish personal contact details.
Email updates
If you opt in to receive updates, we may use your email address to send you campaign news, resources, follow-up information and related updates.
You can unsubscribe from these emails at any time by using the unsubscribe link in the email or contacting us directly.
Where your information is stored
Information submitted through 1 Million Tables forms may be stored in our website form system and website database.
If you opt in to receive email updates, your information may also be stored in our email marketing platform, such as Mailchimp.
We may also use trusted third-party tools to help operate the website, manage forms, understand website activity and send communications.
Who has access to your information
Access to personal information is limited to the people who need it to manage the campaign, maintain the website, respond to enquiries, process form submissions, send updates, provide technical support or report on campaign participation.
We do not sell your personal information.
Partner pathways
Some 1 Million Tables forms or pages may be created for specific campaign pathways, such as schools, workplaces, community groups or other participating organisations.
If you register through one of these pathways, your information may be used to count and report participation for that pathway. Where relevant, agreed registration details may be shared with the relevant pathway or partner contact for campaign coordination and follow-up.
We will only share information where it is relevant to the purpose of the form and the campaign.
Public campaign displays
When you register a table, some information you provide may be displayed publicly as part of the campaign map, search, leaderboard and participation totals. This may include your name, city, country, table details and participant count. Your email address will not be displayed publicly.
Stories, photos and public content
If you submit a story, photo, testimonial or other campaign content and give us permission to publish it, we may use that content on the 1 Million Tables website, social media channels, email newsletters, campaign reports and other campaign communications.
You can withdraw your permission for future use by contacting hello@1milliontables.org. Withdrawal will not affect uses that took place before your request was received. Where reasonably possible, we will remove the content from channels under our control.
We will not use submitted stories or photos publicly unless we have permission to do so.
How long we keep your information
We keep personal information only for as long as needed to manage the campaign, report on participation, provide follow-up where consent has been given, and meet any legal or administrative requirements. When personal information is no longer needed, we will delete it or anonymise it where appropriate.
Your rights
Depending on where you live, you may have rights over your personal information, including the right to:
- ask for a copy of the personal information we hold about you
- ask us to correct inaccurate information
- ask us to delete your information
